Job Description Summary:

BASIC FUNCTION: The Event Production Manager will act as the primary liaison between the client and the other staff of the property for the planning and execution of groups with notable attendees and or that are highly technical in nature with highly complex technology requirements. Based on the clients vision and expected outcomes, the EPM will assist with development of the overall production of the event and will coordinate the physical resources and meeting services support staff, both before and during the event, to make it a reality. During down times from production events the EPM will act as the planner on all webcasts/VTC meeting/etc that take place at the CLE and will ensure that all technical requirements needed for the EBS team are in place ahead of their arrival. They will work in Delphi to distribute this information to the team in the form of weekly distribution up to and including providing additional assistance to the planning team during downtimes. This individual is a role model and holds employees accountable to following our mission, vision, policies and procedures.

Job Description:


High School Diploma or equivalent at a minimum; post-secondary education preferred

At least 2 years event planning, event production, or presentation technology management experience in hotels, convention or conference centers, or comparable corporate, association or government facilities

Excellent working knowledge of computer software including, but not limited to, MS Office, Delphi, Final Cut Pro, Keynote, Windows 10 and Mac OS X, and ability to learn additional systems as needed

-Working knowledge of the following production gear: Analog Way presentation switcher, Soundcraft audio board and ION ETC lighting board is preferred, not required

  • Excellent understanding of IT and Presentation Technology (PT)
  • Demonstrated artistic interpretation skills, including graphic design, light design, and sound design
  • Hands-on experience in the following areas:
    • Pre-event production, including generation of cue sheets
    • Event direction
    • Video presentation, including advanced use of video board (Axion preferred)
    • Provide technical production training to production staff where needed
    • Lighting operation and design
    • Audio operation and design
    • Video and audio recording
    • Strong working knowledge of conference service equipment and meeting room set-up styles
    • Excellent written and verbal communication and leadership skills and professional demeanor
    • Excellent organizational skills



  • Engage with Conference Planning to assess and establish PT/IT requirements for events, including pre-event consulting with planners and clients
  • Assess clients vision for events and recommend technical solutions and creative enhancements based on expected outcomes
  • Liaison between event representatives and property staff for all production related requests
  • Promote the use of the propertys technical and artistic capabilities (lighting, sound, video, room aesthetics, etc.) in fulfilling the general, unique or special objectives of events and more generally promote the property as the facility best suited to meet event requirements
  • Lead production development meetings to proactively clarify and manage the customers overall vision for each event
  • Capture and communicate all production details for all relevant event spaces
  • Work with other managers (food & beverage, room sets) to create coordinated guest experience
  • Create and promote packages to market bundled event enhancement features

Production and Execution

  • Proactively execute overall quality of productions to ensure the best total guest experience
  • Serve as primary technical liaison with client before and during event execution
  • Direct Technology team in event execution: call cues, lead staff actions (lighting, sound, video, recording, set changes, etc.)
  • Effectively implement changes during events and communicate them to all affected staff
  • Schedule and manage rehearsals, testing, and other pre-show activities
  • Engage with Technology Manager to ensure availability of staff and equipment for events
  • Manage Audience Response System (E-Voting) and other specialty event equipment and software. Execute ARS and other systems as necessary
  • Assist with donning and doffing of presenters microphones, advancers, and related tools
  • Attend applicable expos/conventions (may require offsite travel)
  • Network with internal and external vendors to support events as necessary

Administrative Tasks

  • Develop creative ideas to enhance existing capabilities and provide new solutions for events
    • Use existing lighting, sound, video and other features to add value to events
    • Network with internal and external vendors to create new capabilities
    • Support PT/IT and production continuous improvement initiatives
  • Establish and manage vendor relations for all production-related requirements that cannot be fulfilled using in-house capabilities
  • Perform some administrative duties, including reports, filing, and processing purchase orders.
  • Maintain detailed logging of all PT/IT and production related issues and resolutions
  • Work within Delphi to create documentation for events (i.e. event orders, agreements, resumes)
  • During off peak production times the EPM will plan additional meetings including webcasts/VTCs, and additional meetings as needed
  • Support the Technology Manager with projects
  • Conduct daily zone inspections and SOS (Manager on Duty shifts as assigned)
